Administrative Assistant
- Overview: Provides support for the Executive Director and other staff with a variety of administrative tasks.
- Supervision Received: reports to Executive Director.
- Supervision Exercised: administrative volunteers
- Schedule & compensation: $17/hr, 16 hours per week; permanent, non-exempt. Flexible schedule, afternoons preferred.
Duties:
- Copying, scanning & emailing bills to bookkeeper
- Maintaining & organizing paper files
- Maintaining & organizing office supplies and storage areas
- Assisting with museum gift shop: sales, restocking, inventory, & ordering
- Checking & distributing incoming mail at post office
- Bringing deposits to bank
- Processing credit card sales
- Sending acknowledgements for gifts & donations
- Updating museum signage for events
- Assisting with website management, including notification of events, adding photos & calendar updates
- Assisting with preparation of reports, statistics & grant applications
- Entering donor & member information into Past Perfect database
- Assistance with bulk mailings
- Greetings visitors & answering phones
- Other administrative tasks as needed
Physical Demands:
Frequent sitting, standing, and occasional walking, kneeling and crouching. Occasional lifting of objects up to 20 lbs.
Work Environment:
Work is performed in an office environment. The noise level is low. Distractions and interruptions may be present; concentration is required to stay on task. The primary work location is in the museum's main office, which is on the first floor and has bathrooms close by. Some work may require using resources on the second floor, which can be accessed by stairs or elevator.
Skills and Educational Requirements:
- Strong communication skills
- Demonstrated ability to maintain high level of accuracy and attention to detail
- Ability to exercise discretion and confidentiality with sensitive tasks / information
- Strong time management skills to prioritize work on a part-time schedule
- Familiarity with filing and financial procedures
- Punctuality in attendance and meeting deadlines
- 2+ years experience in an office environment OR relevant coursework and some office experience
- High school graduate
Please note: This position is being co-advertised with the Office Assistant position at the Canton Free Library, and the positions are designed with a compatible schedule to accommodate an applicant interested in both, together equaling 33.5 hrs/wk.
